One-click Apaleo Pay links in every notice

Every dunning letter includes a secure, guest-specific Apaleo Pay payment link — generated automatically. GoClearBalance will never send a notice without a working link. Guests can pay in one click; no login, no friction.

Real-time auto-close via apaleo webhooks

When a guest pays, apaleo fires a payment webhook. GoClearBalance receives it and closes the case in seconds — no morning batch, no manual reconciliation required. Partial payments are tracked until the balance clears.

Bilingual DE/EN letters with language detection

Dunning letters are generated in German or English based on the guest's language preference in apaleo. You write the templates once — GoClearBalance handles which language reaches which guest automatically.

Immutable audit log and Transparency Log

Every dunning action is logged permanently. The Transparency Log goes further: it records why each candidate was not dunned — so you can demonstrate compliance, investigate edge cases, and satisfy GDPR audit requirements.

Per-property rules and safety guardrails

Configure grace periods, minimum dunnable amounts, channel/source exclusions and fee schedules per property independently. Built-in safety rule: GoClearBalance never dunns a guest on their checkout or invoice day.

The questions we hear most from apaleo hotels evaluating dunning and debt collection automation.

Will GoClearBalance send a dunning notice without a payment link?

No — never. GoClearBalance will not dispatch a dunning notice unless a working Apaleo Pay payment link can be generated for the balance. If the link cannot be created, the case is held and flagged for your team rather than sent without a way for the guest to pay.

How do partial payments work?

Partial payments are automatically reconciled via apaleo's payment webhooks. The case stays open until the outstanding balance falls below the configured threshold. If the guest overpays, the overpayment is detected and the case closes cleanly.

Can I exclude OTA bookings from dunning?

Yes — per-property channel and source filters let you exclude any booking channel or reservation source from the dunning process. OTA reservations, corporate rates or any other segment can be excluded individually per property.

What happens after the final notice?

The automation stops. GoClearBalance does not initiate any further action after the final notice — your team decides what to do next: close the case, hand it to a collection agency, or take other steps. You stay in control at every stage.

How is data isolated between hotels?

Each GoClearBalance account operates on a completely separate database. There is no shared storage between accounts. This is the architecture required by GDPR and by good multi-tenant SaaS design: one hotel's data is never accessible from another account.

Is GoClearBalance in the apaleo App Store?

In production use at our pilot customer since late 2025. apaleo App Store listing planned for Q3 2026; general availability Q4 2026. Hotels interested in joining the pilot can book a call with Stefan.
